ECO-AFRICA CLIMBING: SAFARI BOOKING TERMS & CONDITIONS

Please read these Terms and Conditions carefully before confirming your safari or customized travel package.

By confirming a booking, paying a deposit or any other amount, completing required booking documentation, or participating in a safari or customized travel package, the client acknowledges that they have read, understood, and accepted these Terms and Conditions.


1. APPLICATION OF THESE TERMS

These Terms and Conditions apply to private wildlife safaris, private camping safaris, private lodge and tented-camp safaris, customized tours, cultural tours, safari extensions, beach extensions, combination packages, and other travel services operated or organized by Eco-Africa Climbing in Tanzania, unless specific different terms are expressly confirmed in writing.

All safaris operated by Eco-Africa Climbing are private safaris and are not operated as group safaris.

A private safari means that the safari vehicle, Driver Guide, and planned safari arrangements are organized for the travelers included in the confirmed booking and are not routinely combined with unrelated safari clients.

References to a “safari,” “tour,” “trip,” “package,” or “itinerary” mean the services confirmed in the client’s applicable quotation, invoice, and itinerary.

Where the safari or package includes accommodation, domestic flights, activities, transfers, mountain climbing, beach holidays, or other services operated by independent suppliers, applicable supplier conditions may also apply where relevant.

2. COMBINATION & CUSTOMIZED PACKAGES

Eco-Africa Climbing may arrange combination or fully customized travel packages that include two or more travel components under one itinerary, quotation, invoice, or booking.

These may include, but are not limited to:

  • Mountain Climb + Private Safari;
  • Private Safari + Zanzibar or other Beach Holiday;
  • Mountain Climb + Private Safari + Zanzibar or other Beach Holiday;
  • Private Safari + Cultural or Community Experiences;
  • Private Safari + Domestic Flights;
  • Private Safari + Accommodation and Transfers; or
  • Any other fully customized Tanzania travel package combining multiple services.

Where a client books two or more travel components together as one combined or customized package, these Safari Booking Terms & Conditions shall apply to the entire combined package as a whole, unless Eco-Africa Climbing expressly confirms different terms in writing.

Private Safari Within a Combination Package

The safari component of any combination or customized package operated by Eco-Africa Climbing will be arranged as a private safari for the travelers included in that booking.

Where the package also includes a mountain climb, the mountain-climbing component may be either:

  • A scheduled group climb; or
  • A private mountain climb.

Whether the mountain climb is group or private will depend on what was requested, quoted, agreed, and confirmed between the client and Eco-Africa Climbing during the inquiry and booking process.

For example, a client may book:

  • A Group Mountain Climb + Private Safari;
  • A Private Mountain Climb + Private Safari;
  • A Group Mountain Climb + Private Safari + Zanzibar;
  • A Private Mountain Climb + Private Safari + Zanzibar; or
  • Another customized arrangement agreed in writing.

The exact nature of the mountain-climbing and safari arrangements will be stated in the confirmed quotation or itinerary.

Regardless of whether the mountain climb is group or private, where it forms part of a combined package, the complete booking remains governed by these Safari Booking Terms & Conditions.

Package Deposit & Payment Terms

Where a combined or customized package is booked as one complete package, the deposit, payment deadlines, cancellation provisions, refund provisions, amendment provisions, and other booking conditions contained in these Safari Booking Terms & Conditions will apply to the entire confirmed package.

Unless otherwise expressly stated in writing, a combined or customized package will therefore be subject to the applicable 30% package deposit and the final payment requirements contained in these Terms.

Cancellation of a Combined Package

Where the client cancels the entire combined or customized package, the cancellation charges contained in these Safari Booking Terms & Conditions will apply to the total confirmed package price, together with any additional non-refundable or committed supplier costs where applicable.

Where the client cancels only one component of the package, Eco-Africa Climbing will assess the requested change based on:

  • The confirmed package arrangements;
  • Supplier cancellation conditions;
  • Non-refundable or committed costs;
  • The impact on the remaining itinerary;
  • Changes in accommodation or transportation;
  • Revised group size;
  • Seasonal rates; and
  • Other applicable operational costs.

Cancellation or removal of one component does not automatically entitle the client to a refund equal to the originally quoted value of that component.

Package Repricing After Changes

Combined and customized packages may be priced as a complete package rather than as separate standalone services.

If the client removes, cancels, postpones, or materially changes one or more components after confirmation, Eco-Africa Climbing reserves the right to recalculate the price of the remaining package.

For example, cancellation of a safari, mountain climb, Zanzibar stay, domestic flight, accommodation, or transfer may affect the pricing of other connected services.

The client will be responsible for any applicable additional costs resulting from the requested change.

Supplier Conditions Within a Combined Package

Although these Safari Booking Terms & Conditions govern the client’s overall combined package with Eco-Africa Climbing, individual hotels, lodges, camps, airlines, activity providers, beach resorts, and other suppliers may impose their own non-refundable deposits, cancellation charges, amendment fees, or other restrictions.

Where such supplier costs have already been incurred or committed for the client’s booking, those costs may also apply in accordance with these Terms.


PART A — BOOKINGS, DEPOSITS & PAYMENTS

3. RESERVATIONS, COMBINATION PACKAGES, ACCOMMODATION AVAILABILITY & 30% DEPOSIT

A deposit equal to 30% of the total confirmed safari or combination package price is required to secure a reservation unless a different deposit amount is expressly stated in writing.

Safari packages displayed on the Eco-Africa Climbing website may include standard or example accommodation options to give clients an indication of the type and level of accommodation that may be used.

However, accommodation shown on the website is not automatically guaranteed for every booking.

Most safari and combination packages can be customized according to the client’s preferences, budget, travel dates, room requirements, and accommodation availability.

Before requesting payment for the confirmed safari or package arrangements, Eco-Africa Climbing will normally contact the selected hotel, lodge, tented camp, or other accommodation provider to check availability for the client’s travel dates.

Where appropriate, Eco-Africa Climbing may request a pro forma invoice or other written confirmation from the accommodation supplier before finalizing the client’s booking arrangements.

Once availability and applicable supplier costs have been confirmed, Eco-Africa Climbing will issue the client with the applicable invoice or payment link.

Because accommodation availability may change quickly and suppliers may only hold rooms for a limited period, the client is expected to make the requested payment as soon as reasonably possible and within 7 days of receiving the payment link or invoice, unless a shorter payment deadline is specifically stated.

If payment is not received within the applicable period:

  • The accommodation may release the rooms;
  • Availability may need to be checked again;
  • The selected accommodation may no longer be available;
  • A different accommodation option may need to be offered;
  • The supplier rate may change;
  • The itinerary price may need to be revised; and
  • A new invoice or payment link may be issued.

The booking remains subject to availability until the required payment has been successfully received and verified by Eco-Africa Climbing.

Because safari accommodation, camps, lodges, domestic flights, mountain services, beach accommodation, permits, activities, and other services may require deposits or advance payments, Eco-Africa Climbing may begin making confirmed supplier reservations after receiving the client’s payment.

Issuing a proposed itinerary or quotation by itself does not constitute final confirmation of all accommodation or services.

4. PAYMENT LINKS, QUOTATIONS & BOOKING CONFIRMATION

Where Eco-Africa Climbing issues a quotation, invoice, or payment link, the requested payment should normally be made within the deadline stated on the invoice or payment request.

If no different deadline is stated, payment must normally be made within 7 days of receiving the invoice or payment link.

Because hotels, lodges, tented camps, airlines, and other suppliers may provide only temporary availability, Eco-Africa Climbing cannot guarantee that the quoted accommodation, rate, or service will remain available after the payment deadline.

Until the required payment has been received:

  • Accommodation may remain unconfirmed;
  • Rooms or tents may be released by suppliers;
  • Domestic flight space may change;
  • Safari vehicle availability may change;
  • Park or activity availability may change;
  • Mountain or beach arrangements may change;
  • Supplier rates may change;
  • The quoted package price may need to be revised; and
  • Eco-Africa Climbing may issue a revised quotation, itinerary, invoice, or payment link.

A booking is considered confirmed only after the required payment has been received and Eco-Africa Climbing has confirmed the applicable arrangements.

5. FINAL PAYMENT

The full outstanding balance must be received no later than 60 days before the scheduled arrival or commencement date, unless otherwise agreed in writing.

Bookings confirmed within 60 days of commencement may require full payment at the time of booking.

Eco-Africa Climbing reserves the right to cancel or release unpaid reservations where the required balance has not been received by the applicable deadline.

Where cancellation results from failure to pay by the required deadline, applicable cancellation charges and non-refundable supplier costs may apply.

6. PAYMENT FEES, BANK CHARGES & PAYMENT SHORTFALLS

Unless expressly agreed otherwise in writing, all costs associated with making payment to Eco-Africa Climbing are the responsibility of the client.

Eco-Africa Climbing must receive the full amount shown on the applicable invoice net of transaction costs and deductions.

These costs may include:

  • Bank transfer charges;
  • International wire fees;
  • Correspondent or intermediary bank charges;
  • Credit or debit card processing charges;
  • Payment-platform charges;
  • Currency conversion charges;
  • Foreign exchange costs; and
  • Other applicable transaction charges.

For example, where an invoice is USD $3,000 but Eco-Africa Climbing receives USD $2,960 after banking or transaction charges, the remaining USD $40 remains payable by the client.

Payment is complete only when the full required amount has been received and verified.

7. OFFICIAL PAYMENT INSTRUCTIONS & FRAUD PREVENTION

Clients must make payments only through payment links, bank accounts, invoices, or payment instructions officially provided or confirmed by Eco-Africa Climbing.

Clients should independently verify unexpected requests involving:

  • Changed bank details;
  • A different beneficiary;
  • An unfamiliar account;
  • An unusual payment method; or
  • Materially different payment instructions.

Where there is any doubt, the client should contact Eco-Africa Climbing through a previously verified communication channel before sending funds.

Eco-Africa Climbing is not responsible for funds voluntarily transferred to an unauthorized third party, fraudulent account, impersonator, or incorrect destination where those instructions were not issued or authorized by Eco-Africa Climbing, except where liability cannot lawfully be excluded.

8. LEAD BOOKER & GROUP REPRESENTATIVE

Where one person books on behalf of multiple travelers, that person will normally be considered the Lead Booker or Group Representative for administrative communication.

The Lead Booker is responsible for providing accurate participant information and communicating relevant:

  • Booking information;
  • Itineraries;
  • Payment deadlines;
  • Travel requirements;
  • Accommodation arrangements;
  • Pre-departure information; and
  • Terms and Conditions.

Each traveler remains individually subject to these Terms.

The Lead Booker does not automatically own refunds, credits, deposits, or payments allocated to other travelers.

9. INDIVIDUAL ALLOCATION OF PAYMENTS

Where one person makes payment on behalf of several travelers, Eco-Africa Climbing may allocate that payment among the identified participants included in the booking.

The person physically making the payment is not necessarily the person to whom the entire payment is allocated.

Where a refund or credit applies specifically to one traveler, it may remain allocated to that traveler even where another person originally made the payment.


PART B — SAFARI & PACKAGE PRICES

10. SAFARI & PACKAGE PRICES

Safari and customized package prices are based on the confirmed itinerary, accommodation category, number of participants, travel dates, room configuration, park fees, transportation, activities, meals, mountain arrangements, beach arrangements, and other services specified in the quotation.

Only services expressly stated as included in the confirmed itinerary or quotation are included in the price.

Unless expressly stated, prices do not automatically include:

  • International flights;
  • Visas;
  • Travel insurance;
  • Personal expenses;
  • Tips;
  • Drinks not included by accommodation;
  • Laundry;
  • Optional activities;
  • Medical costs; or
  • Other services not specifically identified as included.

11. PRICE CHANGES, PARK FEES, GOVERNMENT CHARGES & SURCHARGES

Prices are calculated using applicable costs and charges known at the time the quotation is prepared.

Government authorities, TANAPA, applicable conservation authorities, local authorities, tourism authorities, suppliers, airlines, accommodation providers, or other relevant bodies may introduce or revise mandatory charges after booking.

These may include:

  • National Park entry fees;
  • Conservation fees;
  • Concession fees;
  • Camping fees;
  • Crater service fees;
  • Vehicle fees;
  • Tourism levies;
  • Government taxes;
  • VAT;
  • Permit charges;
  • Fuel-related charges;
  • Domestic aviation charges; and
  • Other mandatory statutory or regulatory charges.

Where a mandatory government, National Park, statutory, or regulatory charge increases after booking, the applicable increase may be added to the client’s outstanding balance or invoiced separately where necessary.

Such mandatory increases are outside Eco-Africa Climbing’s reasonable control.

12. FUEL, EXCHANGE RATE & SUPPLIER COST CHANGES

Eco-Africa Climbing reserves the right to revise the safari or package price where a significant cost increase occurs after quotation or booking because of circumstances outside the company’s reasonable control, including:

  • Significant fuel-price increases;
  • Major foreign exchange movements;
  • Supplier price increases;
  • Accommodation rate changes;
  • Domestic airline increases;
  • New taxes or levies; or
  • Other unavoidable increases affecting confirmed services.

Where reasonably possible, Eco-Africa Climbing will notify the client of any material additional amount before travel.

13. CHANGES IN GROUP SIZE

Safari and customized package prices, particularly private trips, may be calculated according to the confirmed number of travelers sharing vehicles, accommodation, guides, transfers, and other fixed costs.

If one or more participants cancel or withdraw, Eco-Africa Climbing may recalculate the price for the remaining participants based on the revised group size.

For example, a private safari originally priced for six travelers may cost more per person if the group subsequently reduces to four travelers.

The cancelling participant’s payment or deposit does not automatically become a discount for the remaining travelers.

14. ROOM CONFIGURATION & SINGLE SUPPLEMENTS

Prices may be based on double, twin, triple, family, or other shared-room arrangements stated in the quotation.

Where a participant subsequently requires single accommodation, or where a change in group composition results in a traveler occupying a room alone, an applicable single-room supplement or revised accommodation charge may apply.

All room configurations remain subject to accommodation availability and supplier policies.


PART C — CANCELLATIONS, REFUNDS & REBOOKING

15. CANCELLATION BY THE CLIENT

All cancellations must be submitted in writing to Eco-Africa Climbing.

The date on which Eco-Africa Climbing receives the written cancellation determines the applicable cancellation charge.

The following standard cancellation charges apply:

33 days or more before scheduled arrival or commencement:
25% of the total safari or package price.

8–32 days before scheduled arrival or commencement:
50% of the total safari or package price.

7 days or less before scheduled arrival or commencement:
100% of the total safari or package price.

16. SUPPLIER & ACCOMMODATION CANCELLATION CHARGES

Bookings normally involve advance reservations with independent suppliers such as:

  • Safari lodges;
  • Tented camps;
  • Hotels;
  • Beach resorts;
  • Domestic airlines;
  • Activity providers;
  • Mountain-service providers;
  • Community or cultural experiences; and
  • Other third-party suppliers.

Some suppliers require non-refundable deposits or impose cancellation charges different from Eco-Africa Climbing’s standard cancellation schedule.

Where a supplier’s actual non-refundable charge associated specifically with the client’s confirmed booking exceeds the standard cancellation amount, the additional supplier charge may also be deducted or become payable by the client.

Clients acknowledge that accommodation and other supplier reservations may be confirmed and paid shortly after Eco-Africa Climbing receives the deposit.

17. REFUND POLICY & PROCESSING TIME

Where a client qualifies for a cash refund, the refundable amount will be determined after applicable deductions.

These may include:

  • Cancellation charges;
  • Non-refundable accommodation costs;
  • Airline cancellation charges;
  • Activity-provider cancellation charges;
  • Client-specific committed expenses;
  • Bank charges;
  • International transfer costs;
  • Correspondent or intermediary bank charges;
  • Payment-platform charges;
  • Card refund costs;
  • Currency-conversion charges; and
  • Other reasonable direct costs associated with returning funds.

Eligible refunds will normally be processed by Eco-Africa Climbing within 30 business days after the final refundable amount has been established and all required refund information has been received.

Any additional time required by banks, card issuers, or payment providers after Eco-Africa Climbing processes the refund is outside the company’s control.

Where possible and permitted, refunds will normally be returned through the original payment method.

Eco-Africa Climbing is not responsible for differences in the final credited amount resulting from currency fluctuations, foreign exchange conversion, intermediary institutions, or payment-provider charges.

18. DATE CHANGES, POSTPONEMENTS & REBOOKING

Clients may request changes to travel dates before commencement.

All changes remain subject to:

  • Accommodation availability;
  • Supplier terms;
  • Vehicle availability;
  • Guide availability;
  • Park availability;
  • Mountain availability;
  • Beach accommodation availability;
  • Domestic flight availability;
  • Seasonal pricing;
  • Current rates; and
  • Costs already incurred or committed.

Where a supplier charges an amendment, cancellation, or rebooking fee, that cost is payable by the client.

The original package price is not guaranteed for new travel dates.

The client must pay any applicable difference resulting from seasonal rates, supplier changes, government charges, or other applicable costs.

19. NO-SHOW

Failure to arrive or participate in the confirmed trip without prior written cancellation is considered a no-show.

A no-show is 100% non-refundable.

No refund or credit is provided for unused:

  • Accommodation;
  • Park fees;
  • Vehicle arrangements;
  • Guide services;
  • Meals;
  • Transfers;
  • Activities;
  • Domestic flights;
  • Mountain services;
  • Beach services; or
  • Other confirmed services.

20. UNUSED SERVICES AFTER COMMENCEMENT

Once the trip has commenced, no refund, reimbursement, credit, or price reduction is provided for voluntarily unused or missed services.

This includes unused:

  • Hotel or lodge nights;
  • Meals;
  • Game drives;
  • National Park visits;
  • Mountain days;
  • Beach accommodation;
  • Transfers;
  • Activities;
  • Domestic flights;
  • Vehicle days; or
  • Other included services.

This may apply where services are missed because of:

  • Personal choice;
  • Illness;
  • Injury;
  • Late arrival;
  • Early departure;
  • Flight disruption;
  • Failure to participate; or
  • Other circumstances not caused by Eco-Africa Climbing.

PART D — ALTERATIONS & SAFARI OPERATIONS

21. CHANGES REQUESTED BY THE CLIENT

Before full payment is due, Eco-Africa Climbing will make reasonable efforts to accommodate requested itinerary changes.

However, no requested change is guaranteed.

Changes remain subject to supplier availability and may affect the package price.

After confirmed supplier bookings have been made, alterations may result in:

  • Revised accommodation rates;
  • Cancellation penalties;
  • Amendment charges;
  • Domestic flight charges;
  • Additional vehicle costs;
  • Additional park costs;
  • Mountain amendment charges;
  • Beach-resort charges; or
  • Other supplier costs.

Where a requested alteration cannot reasonably be made without cancelling confirmed services, Eco-Africa Climbing may treat the affected service as a cancellation and rebooking.

22. CHANGES BY ECO-AFRICA CLIMBING

The nature of safari and customized travel requires reasonable flexibility.

Eco-Africa Climbing may make reasonable changes to:

  • Accommodation;
  • Camps;
  • Meals;
  • Vehicles;
  • Game-drive schedules;
  • Routes;
  • Activities;
  • Park sequence;
  • Transfer times;
  • Guides; or
  • Other itinerary arrangements.

Such changes may be made where reasonably necessary because of safety, availability, operational conditions, road conditions, weather, National Park requirements, wildlife movements, supplier changes, or other legitimate circumstances.

Where reasonably possible, Eco-Africa Climbing will provide an alternative arrangement of a similar or comparable standard.

A reasonable substitution of accommodation, route, activity, vehicle, guide, or schedule does not automatically entitle the client to a refund.

23. ACCOMMODATION SUBSTITUTION

Accommodation is subject to availability and independent supplier operations.

A confirmed lodge, camp, hotel, or beach resort may occasionally become unavailable because of:

  • Overbooking;
  • Closure;
  • Renovation;
  • Maintenance;
  • Supplier operational problems;
  • Government restrictions;
  • Weather;
  • Access issues; or
  • Other circumstances outside Eco-Africa Climbing’s reasonable control.

Where reasonably possible, Eco-Africa Climbing will arrange alternative accommodation of a comparable standard.

Where the available replacement is materially different in price or standard, an appropriate adjustment may be made depending on the circumstances.

24. VEHICLES, ROAD CONDITIONS & SAFARI ROUTES

Safari travel in Tanzania frequently involves remote areas and unpaved, rough, dusty, muddy, corrugated, uneven, or seasonally difficult roads.

Driving times stated in itineraries are estimates and may vary because of:

  • Road conditions;
  • Weather;
  • Traffic;
  • Wildlife sightings;
  • National Park regulations;
  • Vehicle checks;
  • Government controls;
  • Road closures; or
  • Other operational circumstances.

Eco-Africa Climbing may alter a planned route where reasonably necessary for safety, access, wildlife viewing, road conditions, National Park requirements, or operational reasons.

25. VEHICLE BREAKDOWN, MECHANICAL FAILURE & REPLACEMENT ARRANGEMENTS

Although Eco-Africa Climbing makes reasonable efforts to use properly maintained safari vehicles, mechanical problems, punctures, breakdowns, or other vehicle-related interruptions may occasionally occur, particularly because safari travel may involve remote locations and difficult road conditions.

Where a safari vehicle becomes temporarily unusable, Eco-Africa Climbing will make all reasonable efforts to minimize disruption and restore the safari as soon as reasonably possible.

Depending on the circumstances and location, this may include:

  • Repairing the original safari vehicle;
  • Sending another Eco-Africa Climbing vehicle;
  • Arranging a replacement safari vehicle;
  • Sending another Driver Guide or Safari Guide;
  • Transferring clients to another suitable vehicle;
  • Coordinating temporary assistance from another vehicle or service provider; or
  • Making other reasonable transportation arrangements so that the safari can continue.

Where reasonably possible, Eco-Africa Climbing will aim to allow the client to continue the safari with minimum disruption.

Because mechanical problems may occur in remote National Parks or areas where replacement vehicles, mechanics, spare parts, communication, or road access are limited, an immediate replacement cannot always be guaranteed.

Reasonable delays caused by an unexpected vehicle breakdown or mechanical failure do not automatically entitle the client to a refund, compensation, or cancellation where Eco-Africa Climbing has taken reasonable steps to resolve the problem and continue the safari.

Where the original Driver Guide is unable to continue because of the vehicle problem or another operational reason, Eco-Africa Climbing may provide another qualified Driver Guide or Safari Guide to continue the safari.

A change of vehicle or guide made for operational, mechanical, or safety reasons does not by itself constitute a material failure of the safari service.

If a breakdown results in a significant loss of a confirmed safari service that Eco-Africa Climbing is unable reasonably to replace or provide, Eco-Africa Climbing will assess the affected service and determine an appropriate remedy based on the actual circumstances.

26. WILDLIFE SIGHTINGS ARE NOT GUARANTEED

Wildlife exists in a natural and uncontrolled environment.

Eco-Africa Climbing cannot guarantee sightings of any particular:

  • Animal;
  • Species;
  • Migration herd;
  • Predator;
  • River crossing;
  • Calving event; or
  • Other wildlife event.

The location, timing, and behaviour of wildlife may be affected by weather, rainfall, migration patterns, food availability, natural behaviour, and other environmental factors.

Failure to see a particular animal or wildlife event does not entitle the client to a refund or compensation.

27. WEATHER CONDITIONS

Eco-Africa Climbing is not responsible for weather conditions.

Weather may affect roads, game drives, wildlife movements, flight operations, park access, visibility, activities, or the overall travel schedule.

Where necessary, Eco-Africa Climbing may make reasonable itinerary changes for safety or operational reasons.

Weather conditions alone do not automatically entitle the client to cancel, amend, or receive a refund for the trip.

28. FORCE MAJEURE

Eco-Africa Climbing is not liable for cancellation, interruption, delay, or modification resulting from circumstances beyond its reasonable control.

These may include:

  • Severe weather;
  • Flooding;
  • Fire;
  • Natural disasters;
  • Epidemics or pandemics;
  • Government action;
  • Changes in law;
  • War;
  • Civil unrest;
  • Political instability;
  • Terrorism;
  • Strikes;
  • Airport closures;
  • Border closures;
  • Road closures;
  • National Park closures;
  • Major transportation disruption; or
  • Comparable circumstances beyond reasonable control.

Eco-Africa Climbing will make reasonable efforts to provide suitable alternatives where possible.

Where Force Majeure occurs before the trip begins, any refund, postponement, credit, or rescheduling will take into account supplier costs and other amounts already committed or non-recoverable.

Once travel has commenced, unused services resulting from Force Majeure are not automatically refundable.


PART E — TRAVEL, ARRIVAL & DOCUMENTATION

29. PASSPORTS, VISAS & IMMIGRATION

Clients are responsible for ensuring that they possess all documents necessary to enter, remain in, and depart Tanzania and any transit country.

These may include:

  • Valid passports;
  • Appropriate visas;
  • Transit visas;
  • Immigration approvals;
  • Vaccination or health documentation; and
  • Other required travel documents.

Eco-Africa Climbing may provide general information but does not replace official advice from governments, embassies, immigration authorities, airlines, or consulates.

No refund is due where the client cannot travel or participate because required documents were not obtained or applicable entry requirements were not satisfied.

30. HEALTH REQUIREMENTS

Clients are responsible for determining health, vaccination, medication, and travel-health requirements appropriate to their individual circumstances.

Clients are encouraged to consult a qualified healthcare professional sufficiently before travel.

Any required health or vaccination documentation remains the client’s responsibility.

31. TRAVEL & MEDICAL INSURANCE

Travel and medical insurance is strongly recommended for all safari and customized package participants.

Clients should consider coverage for:

  • Emergency medical expenses;
  • Medical evacuation;
  • Repatriation;
  • Trip cancellation;
  • Trip interruption;
  • Flight delays or cancellations;
  • Missed connections;
  • Lost or delayed baggage;
  • Personal belongings; and
  • Other appropriate travel risks.

Where the package includes a mountain climb, clients must also comply with any insurance requirements specifically communicated for that mountain activity.

Clients are responsible for understanding the terms, exclusions, limits, deductibles, and claims requirements of their insurance policy.

Eco-Africa Climbing is not responsible where an insurer rejects, delays, limits, or refuses a claim.

32. FLIGHT DELAYS, CANCELLATIONS & MISSED CONNECTIONS

Eco-Africa Climbing is not responsible for international or domestic flights that are delayed, cancelled, diverted, rescheduled, or missed where the circumstances are outside Eco-Africa Climbing’s reasonable control.

Where flight disruption affects the trip, Eco-Africa Climbing will make reasonable efforts to assist with revised arrangements.

Any additional accommodation, transportation, domestic flight, park, vehicle, meal, or logistical expenses resulting from circumstances outside Eco-Africa Climbing’s control are the client’s responsibility unless covered by the applicable supplier or travel insurance.

No refund is provided for services missed because the client arrived late through circumstances not caused by Eco-Africa Climbing.

33. ACCURACY OF CLIENT & FLIGHT INFORMATION

Clients are responsible for providing accurate:

  • Full legal names;
  • Passport information;
  • Nationality;
  • Date of birth;
  • Contact details;
  • Emergency contacts;
  • Arrival information;
  • Departure information;
  • Flight numbers;
  • Dietary requirements; and
  • Other information required for the booking.

Eco-Africa Climbing must be informed promptly of material changes.

Additional costs resulting from inaccurate, incomplete, or late information supplied by the client are the client’s responsibility.


PART F — LUGGAGE, DIETARY REQUIREMENTS & PERSONAL PROPERTY

34. SAFARI LUGGAGE & VEHICLE SPACE

Eco-Africa Climbing does not impose a fixed general luggage weight limit for road-based private safaris unless a specific service included in the itinerary has its own baggage restriction.

However, clients are requested to travel with reasonable and practical luggage suitable for safari travel and to avoid bringing an excessive number of large or hard-shell suitcases.

Safari vehicles have limited luggage space, particularly where several travelers are traveling together.

Eco-Africa Climbing’s safari Land Cruisers normally carry a maximum of six safari guests, allowing each guest access to a window seat for wildlife viewing.

Where a vehicle is carrying close to its maximum guest capacity, clients are strongly encouraged to use:

  • Soft-sided travel bags;
  • Duffel bags;
  • Small or medium suitcases; and
  • Reasonable quantities of personal luggage.

Large quantities of luggage or multiple oversized suitcases may not fit safely or comfortably inside the safari vehicle together with all passengers.

Where a client expects to travel with unusually large, heavy, or excessive luggage, Eco-Africa Climbing should be informed in advance so that suitable arrangements can be considered.

Additional transportation or luggage arrangements required because of excessive baggage may result in additional costs payable by the client.

Where the itinerary includes a domestic, scheduled, or charter flight, the airline’s own baggage weight, size, and bag-type restrictions will apply, regardless of the road-safari luggage provisions above.

Where a combination package includes a mountain climb, the separate mountain luggage and porter-weight requirements communicated for the climbing component will also apply.

35. DIETARY REQUIREMENTS & FOOD ALLERGIES

Eco-Africa Climbing will make reasonable efforts to communicate disclosed dietary requirements to accommodation providers and other relevant suppliers.

Clients must disclose known:

  • Food allergies;
  • Intolerances;
  • Medical dietary requirements; and
  • Significant dietary restrictions

before travel.

Because food may be prepared by independent lodges, camps, hotels, beach resorts, and remote kitchens, Eco-Africa Climbing cannot guarantee a completely allergen-free environment.

Clients with severe allergies remain responsible for obtaining appropriate medical advice, carrying prescribed medication, and taking reasonable personal precautions.

36. PERSONAL BELONGINGS

Clients are responsible for passports, money, cameras, phones, electronics, luggage, jewellery, equipment, and other personal belongings.

Eco-Africa Climbing is not responsible for loss, theft, or damage to personal property except where directly caused by the company’s negligence and where liability cannot lawfully be excluded.

Clients are encouraged to keep valuable items secure and appropriately insured.


PART G — CONDUCT, CHILDREN & SAFETY

37. CLIENT CONDUCT

Clients must comply with:

  • Tanzanian law;
  • National Park regulations;
  • Wildlife regulations;
  • Accommodation rules;
  • Guide safety instructions; and
  • Reasonable operational instructions.

Eco-Africa Climbing may terminate a client’s participation where their behaviour:

  • Creates a serious safety risk;
  • Is abusive or threatening;
  • Is violent;
  • Is unlawful;
  • Seriously disrupts other travelers;
  • Endangers wildlife;
  • Damages property; or
  • Repeatedly ignores reasonable safety instructions.

No refund is provided where participation is terminated for these reasons.

Any resulting additional accommodation, transportation, or other expenses are the client’s responsibility.

38. SAFARI GUIDE AUTHORITY

The designated Safari Guide or Driver Guide has operational authority regarding day-to-day safari activities and safety.

The guide may reasonably change:

  • Departure times;
  • Game-drive routes;
  • Rest stops;
  • Wildlife-viewing locations;
  • Park routes;
  • Activity timing; or
  • Other daily operational arrangements.

Such changes may be made where necessary because of safety, weather, road conditions, wildlife movement, National Park instructions, or other legitimate operational considerations.

Clients must follow reasonable safety and National Park instructions provided by the guide.

39. CHILDREN & MINORS

Travelers under 18 remain subject to appropriate parental or legal-guardian authorization and applicable legal, immigration, accommodation, activity-provider, airline, National Park, and safety requirements.

Accommodation providers and safari activities may have their own minimum-age requirements.

Child rates, where offered, depend on the specific accommodation, park, room configuration, travel period, and supplier policy applicable to the confirmed booking.

Age classifications and child discounts are therefore not guaranteed to be identical across every service included in a safari or customized package.


PART H — THIRD-PARTY SUPPLIERS & LIABILITY

40. THIRD-PARTY SERVICE PROVIDERS

Safari and customized itineraries commonly include services provided by independent third parties, including:

  • Lodges;
  • Hotels;
  • Tented camps;
  • Beach resorts;
  • Domestic airlines;
  • Activity operators;
  • Transportation providers;
  • Medical facilities;
  • Evacuation providers; and
  • Other suppliers.

Eco-Africa Climbing will exercise reasonable care in selecting and coordinating suppliers forming part of the confirmed trip.

Independent suppliers remain responsible for the operation of their respective services.

Eco-Africa Climbing is not responsible for independent acts, omissions, delays, failures, or changes by third-party providers except where liability cannot lawfully be excluded.

41. INDEPENDENT PRE-TRIP EXPENSES

Eco-Africa Climbing is not responsible for independently purchased expenses such as:

  • International flights;
  • Visas;
  • Vaccinations;
  • Travel insurance;
  • Medical consultations;
  • Personal equipment;
  • Independent hotels;
  • Additional tours;
  • Connecting transportation; or
  • Loss of income.

Cancellation, postponement, itinerary change, or interruption of the trip does not automatically make Eco-Africa Climbing responsible for these independently incurred expenses.

42. LIABILITY

Safari and customized travel may involve inherent risks associated with wildlife, road travel, remote areas, weather, outdoor activities, mountain travel, natural environments, marine activities, and third-party transportation.

Clients acknowledge and accept the ordinary risks associated with the activities included in their confirmed itinerary.

Eco-Africa Climbing will exercise reasonable care in organizing and operating the trip.

Eco-Africa Climbing is not responsible for loss, delay, additional expense, interruption, injury, or damage caused by circumstances outside its reasonable control, independent third parties, or the client’s own acts or omissions, except where liability cannot lawfully be excluded or limited.

Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.


PART I — COMPLAINTS & LEGAL TERMS

43. COMPLAINTS & PROBLEM RESOLUTION

Clients should report any problem to their Safari Guide, Driver Guide, Tour Representative, or Eco-Africa Climbing office as soon as reasonably possible during the trip.

This provides Eco-Africa Climbing with an opportunity to investigate and attempt to resolve the issue while the trip is still operating.

Where an issue remains unresolved, the client should submit the complaint in writing after the trip together with relevant supporting information.

Failure to report an issue during the trip where Eco-Africa Climbing could reasonably have addressed it may affect the company’s ability to investigate or remedy the matter later.

44. GOVERNING LAW & DISPUTE RESOLUTION

These Terms and all safari, combination, and customized package bookings made with Eco-Africa Climbing are governed by the applicable laws of the United Republic of Tanzania.

The parties should first make reasonable efforts to resolve any dispute through good-faith negotiation.

Where a dispute cannot be resolved, it shall be dealt with under applicable Tanzanian law through competent authorities or courts having jurisdiction in Tanzania, unless otherwise agreed in writing.

45. ACCEPTANCE OF TERMS

Payment of a deposit, additional payment, full payment, written confirmation, completion of applicable booking documents, or commencement of the safari or customized travel package constitutes acceptance of these Terms and Conditions.

Where a Lead Booker makes a booking on behalf of other participants, the Lead Booker is responsible for ensuring that those participants receive these Terms.

Each traveler remains individually bound by the applicable Terms.

These Terms should be read together with the client’s:

  • Confirmed quotation;
  • Confirmed itinerary;
  • Invoice;
  • Accommodation arrangements;
  • Payment instructions;
  • Pre-departure information;
  • Applicable supplier conditions; and
  • Any specific written conditions applying to the booking.
