KILIMANJARO CLIMB BOOKING TERMS & LIFETIME DEPOSIT POLICY

 Lifetime Deposit Policy for Kilimanjaro Climb

Your deposit is good for life!

Our Lifetime Deposit Policy allows you to retain the value of your initial deposit (one per person, per confirmed climb) for an unlimited period — whether ten weeks or ten years. We created this flexible policy to support travelers who may need to postpone their adventure due to unexpected events such as travel restrictions, pandemics, political instability, personal emergencies, or force majeure.

We are committed to doing the right thing for our climbers while ensuring smooth operations for every Kilimanjaro expedition.

Initial Deposit

To secure your place on the Kilimanjaro climb, an initial deposit of $300 per person is required at the time of booking.

This deposit is non-refundable but fully qualifies as a lifetime deposit for any future climb or safari with Eco-Africa Climbing.

Lifetime Deposit Use

  • The $300 deposit is tied to the original traveler and cannot be transferred to another person.
  • If you cancel your climb, the deposit is non-refundable, but it can be used by the original booking person at any time in the future for a climb or safari organized by our company
  • It can be applied to a different tour type (e.g., switching from a climb to a safari, day trip or zanzibar).

Group Bookings

  • Each member of a group must pay the $300 deposit individually.
  • If a group member cancels, their deposit remains non-refundable but is valid as a lifetime deposit for their future bookings.

Booking Flexibility

  • To use your lifetime deposit for a future climb, contact our booking team in advance at:[email protected]
  • The deposit can be moved to a new date without penalty.
  • There is no expiration for using the lifetime deposit.

Additional Costs

The lifetime deposit applies to the base cost of a climb or safari. It does not cover:

  • Price increases in future packages
  • Additional fees such as extra hotel nights, equipment rental, or optional services

Please note: Tanzania National Park (TANAPA) fees are reviewed annually and any changes normally take effect from July 1 each year. If you make a booking earlier in the year and your climb takes place after July 1, any increase in TANAPA fees will affect the total trip price quoted at the time of your booking.

 

Full Payment & Cancellation Policy

Full payment for your Kilimanjaro climb is due 60 days before your scheduled arrival date.

Once full payment has been made, the following cancellation policy applies:

  • More than 32 days before trip: 25% of the total amount is retained
  • 8 to 32 days before trip: 50% is retained
  • 7 days or less before trip: 100% is retained — no refund

Important: For any cancellations involving third-party services (e.g., hotel bookings), the client is responsible for any cancellation fees incurred.

Kilimanjaro Booking & Climb Policies

Early Descent Policy

If a climber descends earlier than the scheduled itinerary (due to illness, exhaustion, or personal reasons), the following will apply:

  • There will be no refund for unused trekking days or services
  • Porters, guides,cooks and support crew are paid for the originally booked duration
  • Any extra hotel nights resulting from early descent must be paid by the client.

 

Extra Day on the Mountain

If a client decides to add an additional day on the mountain (for acclimatization or rest), the following fee applies:

  • $380 per person per extra day, covering park fees, staff wages, food, and support.
  • $280 per person for Single Suppliment which comprise of Single tent during the climb and single hotel room for two nights

 

Kilimanjaro National Park Exit Time

Clients must descend and exit Kilimanjaro National Park before 6:00 PM on the final climb day.

Late exit may result in:

  • Additional park charges
  • Extra night fees to be paid by the client

 

Accommodation Policy

Your climb package includes:

  • One night before the climb.
  • One night after the climb.

Any additional nights before or after the climb — including those caused by early descent — are not included and must be paid separately.

During the group climb, accommodation in hotels and tents is shared. We pair climbers of the same gender to share a room and tent together.

 

Travel Insurance Requirement

We highly recommend that all climbers have travel insurance that includes:

  • Medical evacuation coverage up to 6,000 meters above sea level
  • Coverage for trip interruption, cancellation, and emergency medical expenses

You must confirm with your insurer that this coverage is explicitly included in your policy.

Medical & Evacuation Responsibility

  • Our guides monitor your health throughout the climb. If evacuation is required:
  • In case of an evacuation by foot or stretcher, our team will assist you during the descent and with checking out of Kilimanjaro National Park.
  • If you will be evacuated by helicopter, clients are responsible for all related costs, including helicopter evacuation and medical treatment.
  • We highly recommend that all climbers have travel insurance that includes emergency evacuation, medical treatment, and trip cancellation coverage.

 

Force Majeure Clause

Eco-Africa Climbing is not liable for cancellations, delays, or changes due to:

  • Weather conditions(Strong Wind, Fire)
  • Government regulations
  • Natural disasters
  • Political unrest
  • Pandemics
  • Strikes or other force majeure events

In such cases where the situations mentioned above prevent you from starting the climb, no refunds will be issued, but your Lifetime Deposit will remain valid. However, if you have already started the climb and those circumstances cause you not to summit, no refunds will be provided

 

Tipping Guidelines

Tips are not included in the climb cost.

We follow fair tipping guidelines in line with KPAP (Kilimanjaro Porters Assistance Project).

Tipping is handled directly between climbers and the mountain crew for transparency, and not through the company. This is done during the tipping ceremony at the end of the climb.

Suggested tipping amounts will be provided before your climb.

 

Environmental Responsibility

  • No littering on the trail
    • Porters carry all waste down
    • Our team uses gas stoves and never cuts firewood in the park
    • We comply fully with Kilimanjaro National Park regulations
    • No plastic bottles are allowed on the mountain – climbers should use a reusable Nalgene or similar water bottle
